Questions and Answers from April 28 Meeting

Q.  If a student returns to their home country and the parents do not sign the appropriate documents stating this, is the student considered a dropout?

A.  No, Just give him the ‘Left the U.S.” Reason for Exit code 447 in STEP.

Q.  Are Migrant, Homeless, and Neglected/Delinquent Program Service records required this year?

A.  Yes, if applicable to the student. For definitions of these Program Services see the current LEAP Manual or the STEP Manual when it becomes available.

Q.  Can you clarify of the ‘legitimate’ BEDS school code needed, and explain the prohibited BEDS codes of ‘0000 and 0999’.

A.  This affects Out of District placed students. The BEDS code of the service provider (school) will be required for all Program Service records. (‘0000’ and ‘0999’ will no longer be accepted in the Program Service table. Except a ‘BOCES’ code, which always end in ‘0000’).

Q.  What can be updated now for STEP while we’re waiting for the release of the software?

A.  After making a copy (backup) of your current STEP database: the Demographics and Program Services records for students who entered since STEP was reported (STEP 2001-02 school year) can be manually entered into v1043 of STEP. Assessments for August 2002 and January 2003 can also be manually added

Q.  If a new student is manually entered into v1043 of STEP, does a 10th grader get entered as a 10th grader or do they get entered as a 9th grader in anticipation of a rollover?

A.  Enter the 10th grader as a 10th grader with a beginning date for this year and no ending date. If a rollover is provided, the software will look only at grade records that have the ending date placed on them by the automatic closing of records at the end of last year.

Q  Will the disability code and course code conversion on the import screen work this year?

A.  There are no known plans to have these fixed as of yet.

Q.  Who is reported in the ‘District Cohort’ report?

A.  Students who are not included in any Cohort.

Q.  What should an enrollment record for students who were never entered look like in STEP? Last year the database kicked out errors if this type of student had the same beginning and ending date.

A.  Michelle from SED will find out.

Q.  Will Cirtix run on a Mac?

A.  Yes, but the ICA client for MAC will need to be installed.
